WIN Committe Meeting Notes 8/24/2007

The WIN Committee met at the Murrysville Library on 8/24/2007 in a marathon session to discuss the Implementation Profiles to be entered into the Polaris System.  The following is a synopsis of what was discussed and the recommendations that were made.

I. Patron Types

Patron types is the "classification" of patrons in the respective Library databases.  Libraries listed these in the "Registration Survey" results.  The following is the type gleaned from the survey:

Adult Homebound
Child Teacher
Juvenile Volunteer
Staff Library
Board Member State Correctional Facility
Institutional Interlibrary Loan (ILL)
Student Out of Area

*Note: there was a question about how many Libraries use the Juvenile vs. Child designation.  From the survey of 15 respondants, here is the breakdown:

Just using "Child":  3

Just using "Juvenile": 4

Both "Child & Juvenile": 8

It looks as if both of these designations are necessary for the drop down listing of Patron Types.

II. Surveys Sent Out

Nancy sent out 2 Survey Monkey surveys to find out 1. Material Types and 2. Patron Block Reasons on Monday, August 27.

III. Suggested policies and procedures from the WIN Committee.  Please note, these are suggestions, not requirements that were proposed by the committee on the whole.  They are the result of much discussion and thought.

Item and Materials Limits: The WIN Committee suggests libraries follow these guidelines for materials and Item limits.

           1. 30 items out at one time
       2. A Limit of 5 of each of these: DVDs, VHS, Books on Tape or CD, Music

Fines Recommendation: After reviewing the surveys sent out, it is clear that there are differences across the board.  This recommendation was made as an average of fines that Libraries charge.  Libraries have the choice to follow this recommendation or not, however, it would be easier and fairer for and to the patrons if there were parity across the board.
            1. $.25/day for all items.  This includes the DVD/VHS fines which varied from $1-$2 per day.
           2. The maximum fine amount should be left up to the individual Library.  Many libraries stop the fines when the cost of the item is reached.
